Overview

We are seeking an experienced, proactive Personal Assistant or Executive Assistant to provide high level support to a senior Director operating in a fast paced, client facing environment. This position requires someone polished, organised and commercially aware, who can anticipate needs, manage demands effectively and act as a trusted professional partner.

The role suits someone used to supporting at senior level within professional services or the built environment, who takes accountability, communicates confidently, and enjoys being the "go to" person who ensures the Exec is consistently prepared and able to perform at their best.

Key Responsibilities

- Complex diary management, prioritising competing demands and protecting time effectively
- Coordinating meetings, agendas, pre-reads and follow up actions, ensuring follow through
- Producing high quality, professional documents, briefings and presentations
- Taking ownership of email inbox management and applying judgement on what to flag/escalate
- Organising domestic travel and occasional international travel
- Preparing information for client interactions and supporting a polished client facing image
- Liaising with senior stakeholders internally and externally with confidence and discretion
- Maintaining structure, process and organisation around the Exec's workload and pipeline
- Supporting smooth workflows, identifying bottlenecks early and resolving issues proactively

About You

- Proven PA/EA experience supporting at senior level
- Background in professional services or built environment is essential
- Advanced Microsoft Office skills, especially Word, PowerPoint and Excel
- Strong written and verbal communication, able to draft clear, concise and accurate information
- High attention to detail, takes pride in producing polished work
- Calm, composed and able to operate well in a high pace environment
- Emotionally intelligent, discreet, trustworthy and highly reliable
- Flexible approach, with confidence to ask the right questions and anticipate next steps

Hours and Working Requirements

- 8.30am - 5.00pm, Monday to Friday
- 5 days per week in the Oxford office
- Occasional travel to London as required
